Representative illustration of an exhibition stand with installation equipment

Readiness · deadline control

The exhibition date cannot move.

That is why every project passes clear gates for venue, design, artwork, production, logistics and onsite handover before it is marked ready.

Representative illustration

Six gates

Real readiness is clear before the truck arrives.

Every gate has an owner, due date, evidence and status. “Almost ready” is not an acceptable status when access slots or opening time depend on it.

01

Venue confirmed

Hall, stand number, footprint, height, open sides, venue manual, access rules and organiser.

02

Design approved

Layout, finishes, graphics positions, equipment, technical services and final approver.

03

Artwork locked

Print-ready files, dimensions, bleed, colour references, copy, language and approval timestamp.

04

Production released

Bill of materials, supplier orders, quality checkpoints, packing list and fallback decision.

05

Logistics booked

Vehicle, driver, passes, loading route, installation crew, tools, return route and onsite contact.

06

Handover ready

Testing, cleaning, snag closure, exhibitor acceptance, keys and remotes, and dismantling plan.

Status language

Four statuses that leave no room for doubt.

ReadyThe gate is complete and the required evidence or approval is recorded.
At riskThe deadline is approaching or a dependency could affect delivery.
BlockedWork cannot proceed lawfully or practically without a decision, file, payment or venue approval.
Not requiredThe gate does not apply to this scope, and the reason is recorded.

Change control

Every change has a cost, a timing impact and a consequence.

REQUEST

What changes

The item affected, who requested the change, when and why.

IMPACT

What is affected

Artwork, materials, supplier orders, transport, crew, venue approval, budget or the opening deadline.

DECISION

Who approves

Written acceptance, a new due date and the version of the brief or design being replaced.

Critical rule: a change received after production is locked is not considered minor simply because it affects one file or panel. Its impact is reassessed before work is authorised.

Go / no-go

The final check before departure.
